Cases, Shared Spaces, and Notes

How to think about cases, shared spaces, private discussions, and durable case notes.

Cases

A case is the main working area for a legal matter.

Use a case for:

  • case notes
  • document review
  • legal research tied to the matter
  • drafting
  • issue tracking

Shared Spaces

Shared spaces are not cases.

Use them for:

  • firm notices
  • operating updates
  • internal coordination that is not part of one specific matter

Example:

  • Chambers

Private Discussions

Private discussions are for direct or small-group conversations.

Use them when the conversation is between specific people rather than part of the main case record.

What a note is for

A note is a durable entry in the case timeline.

Useful notes include:

  • factual updates
  • next steps
  • risks to investigate
  • client or court deadlines
  • internal decisions
  • review comments on AI output

Good note examples

  • Client confirmed the notice was received on 14 January 2026.
  • Need to verify whether the indemnity survives termination.
  • Partner approved the structure but wants narrower drafting on liability caps.

Less useful note patterns

  • vague prompts with no case purpose
  • chatter that belongs in a private discussion
  • broad legal questions with no scope or jurisdiction

Recommended practice

  • use notes to keep the matter chronology clear
  • keep issue-specific discussion in issue threads where possible
  • use AI modes only when you actually want an AI run
